This policy applies to users of the DynamicVerify web application, mobile application, and related services. In most cases, your organisation controls the information entered into DynamicVerify and Ducharme Consulting provides the software and support services used to process that information.

DynamicVerify may process the following categories of information:
- Account information such as names, email addresses, roles, entity access, and login details.
- Organisation records such as entity, site, building, floor, room, personnel, and department details.
- Asset records such as descriptions, identifiers, barcodes, serial numbers, conditions, movements, and write-off status.
- Verification records such as verifier details, timestamps, room sign-offs, comments, review outcomes, and report data.
- Mobile capture data such as photographs, signatures, scanned codes, coordinates, sync status, and device-related diagnostics.
- Technical information such as audit events, application logs, error details, IP addresses, and session information.
3. How We Use Information
Information is used to provide and improve DynamicVerify, including to:
- Authenticate users and apply the correct access permissions.
- Enable asset verification, room sign-off, data imports, exports, dashboards, and reports.
- Synchronise approved mobile records with the DynamicVerify platform.
- Support administration, troubleshooting, data recovery, security monitoring, and customer support.
- Maintain service reliability, prevent misuse, and comply with legal or contractual obligations.
4. Sharing and Access
Information may be accessible to authorised users within your organisation, Ducharme Consulting personnel who support the service, and trusted service providers who help host, secure, store, or operate DynamicVerify. Information may also be disclosed when required by law, to protect the service, or as part of a business transaction involving the service.
5. Security and Retention
DynamicVerify uses access controls, role-based permissions, session controls, and operational safeguards to help protect information. Records are retained for as long as needed to provide the service, meet reporting or audit requirements, support the customer relationship, or comply with applicable obligations. Your organisation may also set its own data retention requirements.
6. Your Choices
You can contact your organisation's DynamicVerify administrator to request changes to your account access or operational records. Mobile users can manage device permissions, such as camera or location access, through their device settings; some features may not work as intended if required permissions are disabled.
7. Children's Information
DynamicVerify is intended for business and organisational use. It is not directed to children, and children should not create accounts or submit personal information through the service.
8. Changes to This Policy
This policy may be updated from time to time to reflect changes to DynamicVerify, legal requirements, or operational practices. The date above shows when the policy was last updated.
